Setup steps

Onboarding follows the same sequence on every platform: confirm the configuration, connect the program, load card stock, test at the register, then go live. Timelines depend on how many locations and devices are in scope.

  1. 1Review your Toast configuration and location list with a Factor4 specialist.
  2. 2Enable the Factor4 integration on the Toast account and connect it to your Factor4 program.
  3. 3Configure the gift card service item and tender type in the Toast menu so servers can sell and accept cards.
  4. 4Confirm card stock or an existing card range to migrate.
  5. 5Test activation, redemption, partial redemption and balance inquiry on a live terminal with support.

What the workflow looks like at the terminal

Four actions cover almost everything a clerk does with a gift card: activate, redeem, redeem part of a balance, and check a balance. Each one runs against the same real-time ledger, so a card sold at one location works instantly at another.

  • Activate: ring the gift card as an item, swipe or scan the card, enter the load amount, and the card is live on the shared balance ledger before the receipt prints.
  • Redeem: tender the check to gift card, swipe or key the card number, and the balance is drawn down in real time.
  • Partial redemption: when the balance is less than the check, the POS applies the full remaining balance and leaves the difference on the check for a second tender.
  • Balance check: run a balance inquiry from the same menu; the terminal prints or displays the current balance without moving funds.
